Job Summary:

The purpose of this position is to provide administrative support to provide a range of administrative functions related to the Office of Inspector General (OIG), especially related to report processing. The administrative assistant will work with the Department of Health and Human Services OIG personnel to accomplish duties and assist senior management and become familiar with OIG processes and systems to perform duties efficiently.

Responsibilities Include:

  • Input timekeeping data into a timekeeping system and maintain accurate records of leave and files for OIG staff.
  • File individual supporting documents in a timely manner.
  • Coordinate meetings including Skype, scheduling the meeting time and location, working with staff to solicit and finalize an agenda, ensuring logistics such as meeting room, teleconference, videoconference, and presentation equipment is setup and functioning, maintaining and distributing materials for the meeting and producing minutes documenting the results of the activities of the meeting.
  • Review a variety of materials, including reports, congressional correspondence.
  • Manage the calendar and travel for all OMP Senior Executives.
  • Assist OMP Division Managers with projects.
  • Timekeeper for OMP staff, including ensuring all leave balances are matching and an HHS-564 is prepared for all staff.
  • Prepare travel authorization and vouchers for senior managers.
  • Plan and manage numerous meetings and activities for OMP.
  • Manage Data Calls from the Department.
  • Prepare numerous types of reports or correspondence. Exp. Organizational charts, letters, memorandums.
  • Track OMP controls in CCM, database.
  • Route, review, edit documents in a SharePoint environment.
  • Proof and package documents for signature, ensuring that all attachments are included, package is complete.
  • Cooperate and liaise with subject matter experts.
  • Meet deadlines and track budget requirements.
  • Track notes and action items from OMP manager meetings.

Required Qualifications and Skills:

  • Minimum A.S. Degree or higher, preferred.
  • At least five years' experience in corporate, or Federal Government agency providing administrative support.
  • Knowledge of Microsoft word products.
  • Effective at prioritizing tasks, managing workload, time, and energy. Experience with Microsoft Word, PowerPoint, Outlook, Excel, and Access.
  • Experience with the Office 365 platform.
  • Experience with Skype for Broadcast.
  • Knowledge of Federal Travel Regulations and experience with the Federal Travel System Concur.
  • Experience with timekeeping and federal timekeeping regulations.
  • Experience working with SharePoint.
  • Excellent oral and written communication skills.

Work Setting and Environment:

  • Monday through Friday, normal business hours.
  • Miami, FL.
  • On-site federal contractors, in federal buildings or on federal lands must comply with CDC guidelines with respect to wearing masks, maintaining physical distance, and other public health measures.
