Job Title: Administrative Assistant/Project Support Specialist

Job Summary:

The purpose of this position is to provide administrative support in all areas outlined in the task description, assisting the research scientists, the Division Chief's Office, and other administrative personnel where needed.

Responsibilities Include:

  • Make all necessary arrangements for travel, both domestic and international, for Federal employees, and invitational travelers. Duties include:
    • Working with travel agencies to secure airline, hotel, and rental car reservations.
    • Prepare travel orders and travel vouchers using the government travel system in a timely manner.
    • Prepare all necessary paperwork for reimbursable travel.
    • Prepare all necessary paperwork to secure official passports and visa documents as needed.
    • Respond to travel audits by providing all requested documentation by stated deadline.
  • Assist purchase card holders with reconciling purchases by assisting with appropriate forms, backup documentation, and accounting.
  • Perform research for invoices for payment as needed.
  • Provide support as requested for weekly seminars, including making conference room arrangements as necessary, setup and takedown of refreshment station, and serving as escort to offsite attendees.
  • Prepare all necessary documents, including security clearance paperwork and access request forms for all new staff and visitors. Accompany new staff to Security Office, as needed, for fingerprinting and badging.
  • Process incoming mail.
  • Prepare shipping documents.
  • Coordinate with federal administrative personnel to obtain supplies from required sources, including supply schedules.
  • Serve as timekeeper. Enter time and attendance in the timekeeping system.
  • Assist the Division Chief with various budget-related tasks, including monitoring and resolving undelivered orders (UDOs) from prior and current year, and responding to budget related data calls as requested.
  • Serve as back-up for in-processing of new cooperative institute employees.
  • Enter purchase requests into the C.Request system, as well as entering de-obligation requests as needed.
  • Prepare and distribute formal reports, memos, emails, and other documentation.

Required Qualifications and Skills:

  • Minimum of B.A. or B.S. degree or applicable combination of education, training, or experience.
  • Years of experience: Minimum 4 years of subject matter experience with BS, or minimum 3 years of experience with MS.
  • Excellent computer skills, including a working knowledge of the Microsoft Office Suite and/or Google Drive Suite.

Work Setting and Environment:

  • Salary ranges from $53,000 - $64,000, depending on education and experience.
  • Monday - Friday, normal business hours; partial telework is possible.
  • Work is to be performed onsite at the organization's headquarters in Boulder, CO.
  • On-site federal contractors, in federal buildings or on federal lands must comply with CDC guidelines with respect to wearing masks, maintaining physical distance, and other public health measures.
